Virtual reality training — what it is, what it costs and when it actually pays off
VR training means one thing: the trainee performs the procedure instead of watching it. This page explains the four types of VR training that work in production, what a deployment costs in euro, how to calculate the return, and — just as usefully — when virtual reality is the wrong answer.

What virtual reality training actually is
A VR training application puts the employee inside a reconstruction of their own workplace and asks them to do something: isolate a machine, pick an order, respond to a fire, handle a difficult conversation. The environment reacts to their choices — correct and incorrect — and records what happened.
That last part is what separates it from e-learning. A classroom or an LMS can tell you who attended. A simulator tells you who can do the thing, in what order, and how long they hesitated. For a training manager, that is the difference between a compliance record and a competence record.
Four types of VR training that work in production
1. Safety and EHS
Hazard identification, PPE, fire and evacuation, post-accident response, lockout/tagout. The category with the clearest business case, because the alternative to practice is an incident.
2. Technical and machine operation
Forklifts, cranes, excavators, drilling rigs, changeovers and maintenance procedures. The trainee makes expensive mistakes at zero cost, before touching the real machine.
3. Logistics and warehouse
Goods receipt, picking, labelling, dispatch, inventory. New hires complete the full process before they walk onto the floor, without occupying a real station.
4. Soft skills and leadership
Difficult conversations, feedback, conflict, customer situations. The trainee practises alone, repeatedly, and gets an analysis of what they said and when.

How to calculate the return
You need four numbers, and you already have all of them: the cost of training one person today, the number of people trained per year, the cost of an hour of machine or line downtime used for training, and the cost of the errors made during the learning period.
- Materials not consumed. Anything that is used up during practice — components, chemicals, fuel, packaging — drops to zero in simulation.
- Machines not blocked. A real machine used for training is a machine not producing. This is usually the largest single item.
- Experienced staff not tied up. The shift leader demonstrating for the tenth time this quarter is the hidden cost nobody puts in the budget.
- Fewer errors in the first months. Scrap, rework and damage during the learning curve, which a simulator absorbs instead.
- Fewer incidents. Hardest to quantify, largest to pay for when it happens.

When not to use VR
When a video would do
If the goal is to transfer information rather than practise a physical sequence, video and e-learning are cheaper and faster.
When nobody owns the programme
Headsets without an assigned owner end up in a cupboard. Someone has to schedule sessions and charge the devices.
When the procedure changes weekly
Simulations take time to update. If the process is not yet stable, wait until it is.
When you need certification
VR prepares people for statutory examinations; it does not issue qualifications. Those stay with the authorised body.

What hardware do we need?
Standalone headsets, typically Meta Quest 3S. No PC, no cables, no installation on your network. We ship them configured with the applications installed.
How many headsets does a company need?
Fewer than most expect. In rotation, three to five headsets serve a full shift; a permanent training room usually runs 10 to 15 stations.
Do trainers need technical skills?
No. The trainer selects a scenario from a simple panel and hands over the headset. Train-the-trainer is included in deployment.
Does VR training replace certification?
No. It prepares people for statutory examinations and internal authorisations, but the qualification itself is always issued by the authorised body.
Can you build a simulation of our own machines?
Yes. We rebuild the actual workstation and the procedure from your documentation. Custom applications start at €2,000 net, with a prototype in two to three weeks.
